These Terms of Service ("Terms") govern your access to and use of the School Reports platform (also referred to as "GradePulse", "the Service", "we", "us", or "our"). By registering for, accessing, or using the Service, you agree to be bound by these Terms and by our Privacy Policy. If you do not agree, do not use the Service.

1. Acceptance of Terms

By creating an account, completing the registration and payment process, or otherwise using the Service, you confirm that you have read, understood, and agree to these Terms. If you are registering on behalf of a school or organisation, you confirm that you are authorised to bind that institution to these Terms.

2. Description of the Service

School Reports is a comprehensive multi-school management platform. It provides tools for, among other things:

• Academic management: schools, classes, subjects, students, academic years and terms, results, report cards, broadsheets, transcripts, promotions, and timetables;
• Student services: ID card generation, attendance, discipline records, assignments, and house management;
• Finance and billing: student fees and invoices, accounts and expenditure tracking, payroll and payslips, and online payments through Paystack;
• Operations: transportation and vehicle tracking, procurement and stores, library management, visitor and gate-pass logging, health and clinic records, election management, and property and asset tracking;
• Communication: SMS and email notifications (including result notifications), result delivery by SMS, and document emailing; and
• Reporting and analytics for administrators and staff.

Features may change from time to time at our discretion.

3. Registration and Accounts

• You must provide accurate, current, and complete information during registration.
• You must be at least 18 years old, or have the authority of a parent, guardian, or school, to use the Service.
• You are responsible for safeguarding your login credentials and for all activity that occurs under your account.
• You must notify us immediately of any unauthorised use of your account or any other breach of security.
• We may suspend or terminate accounts that provide false information or that breach these Terms.

4. Acceptance Required for Registration

You must accept these Terms and our Privacy Policy before your registration can be submitted. By ticking the acceptance checkbox during registration, you give your explicit consent to these Terms and to the processing of your information as described in the Privacy Policy.

5. Fees and Payments

• Registration and use of certain features may require payment of a fee, which is processed through our third-party payment processor (Paystack).
• Your school account is activated only after successful payment verification.
• You agree to provide accurate billing and payment information and to pay all applicable fees and taxes.
• Fees are displayed at the point of payment. Unless otherwise required by law or stated at checkout, paid fees are non-refundable once your account has been activated.

6. Acceptable Use

You agree not to:

• Use the Service for any unlawful, fraudulent, or unauthorised purpose;
• Upload, transmit, or store content that infringes the rights of others or that is unlawful, harmful, or defamatory;
• Attempt to gain unauthorised access to other schools' data, accounts, or systems;
• Interfere with or disrupt the Service, its servers, or its networks;
• Reverse engineer, copy, or resell any part of the Service; or
• Impersonate any person or misrepresent your affiliation with any school or organisation.

7. Data You Enter

You are solely responsible for the accuracy, lawfulness, and appropriateness of the data you enter into the Service, including student, parent, staff, financial, medical, and operational records, and for obtaining any necessary consents (for example, from parents, guardians, or staff) for the processing of personal information. This includes sensitive data such as health information recorded in the clinic module. We process such data only to provide the Service, as further described in our Privacy Policy.

8. Communications and Location Data

Where you use SMS, email, or transportation and GPS tracking features, you are responsible for ensuring that you have appropriate consent to contact recipients or track vehicles, and for any charges incurred through your use of messaging or location services.

9. Intellectual Property

The Service, including its software, design, text, graphics, and logos, is owned by or licensed to us and is protected by applicable intellectual property laws. We grant you a limited, non-exclusive, non-transferable, revocable licence to use the Service for your internal school administration purposes, subject to these Terms.

10. Availability and Support

We aim to keep the Service available, but we do not guarantee that it will be uninterrupted or error-free. We may perform maintenance, and we may modify, suspend, or discontinue features at any time. We will use reasonable efforts to notify you of planned maintenance where practicable.

11. Disclaimer of Warranties

To the maximum extent permitted by law, the Service is provided "as is" and "as available", without warranties of any kind, whether express or implied, including warranties of merchantability, fitness for a particular purpose, and non-infringement.

12. Limitation of Liability

To the maximum extent permitted by law, we shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or for any loss of profits, data, or goodwill, arising out of or in connection with your use of the Service.

13. Termination and Suspension

We may suspend or terminate your access to the Service if you breach these Terms, if your account is used for unauthorised purposes, or if we reasonably determine that continued access poses a risk to the Service or to others. You may stop using the Service at any time.

14. Changes to These Terms

We may update these Terms from time to time. We will post the revised Terms on this page with an updated date. Your continued use of the Service after changes are posted constitutes acceptance of the revised Terms.

15. Governing Law

These Terms are governed by and construed in accordance with the laws of the Republic of Ghana, without regard to its conflict of law provisions. Any disputes arising under these Terms shall be subject to the exclusive jurisdiction of the courts of the Republic of Ghana.
